As a Software Purchasing Agent, you will play a critical role in managing end-to-end software purchasing, vendor coordination, and inventory tracking. You'll coordinate with vendors, process software-related purchases, and ensure accurate license allocation to both internal teams and customers. The role requires strong organizational skills, attention to detail, and the ability to juggle a high volume of transactions with accuracy and professionalism.

Key Responsibilities

Software Purchasing

  • Coordinate with vendors to acquire diagnostic and enterprise software.

  • Process all software-related purchases using company credit cards or approved purchase methods.

  • Ensure timely, cost-effective procurement and delivery of software products.

Inventory Management

  • Maintain an organized system to track software licenses and purchases.

  • Update and manage a central software database (licenses, renewals, assignments).

  • Reconcile software inventory on a regular basis to ensure accuracy.

Vendor Relations

  • Establish and maintain positive relationships with software vendors.

  • Negotiate pricing, terms, and delivery timelines to optimize value.

  • Resolve vendor-related issues promptly and professionally.

Administrative Duties

  • Prepare and submit monthly reports for software-related spending.

  • Manage and file hundreds of receipts and invoices each month.

  • Complete paperwork related to procurement, renewals, and software distribution.

Customer Coordination

  • Partner with Sales and Support teams to assign software accurately.

  • Respond to customer inquiries related to software purchases or license transfers.

Education High School Diploma or equivalent
Experience Minimum 2 years of experience in inventory management, purchasing, or procurement
Technical Skills Proficiency in Microsoft Office (Outlook, Word, Excel, Visio); familiarity with software licensing and procurement workflows is preferred
Physical Requirements Sitting/standing for moderate periods, light lifting (under 10 lbs. regularly; up to 50 lbs. occasionally), use of computers and office equipment
Travel None
Dress Code Casual attire permitted; professional attire may be required for specific events or meetings
Other Must be eligible to work in the U.S.; subject to criminal background check
